5 Key Steps to Planning a Memorable Party

Do you wonder where to get started? This short article will help you with some ideas and suggestions on how to create the most memorable party.

Step 1 – Style and Theme

This doesn’t necessarily mean asking guests to arrive in costume and making sure that all the food is a certain shade of blue! However some thought to the style and theme of your party will help you to plan the elements so that the party has a distinct feel to it, one that your guests will remember.

Theme will often come from the reason for the party; a birthday, special occasion, celebrating an event, a particular group of people etc. Is there a particular theme that is particularly relevant to the party, or you might wish to allude gently to one. Of course the list of theme ideas is almost endless. Choose something that has relevance to your party reason, or is a personal favourite. Decide is you are going all out with theme – guests will dress up and everything will be themed, or do you just wish to use the theme as a guide for the planning, giving the party a particular flavour. Look for a list of party themes to get some ideas.

Party style will be to some extent dictated by the theme. Consider how you would like your guests to dress: casual, black tie, costumed; what impression do you want to create e.g. casual, sophisticated, wacky

Step 2 – Food and Drink

Most, if not all party planning will involve food and drink. This can make or break a great party. Do give some thought to the part that food will play at your party – is it the main event, or a side issue to other activities? Food and drink will be influenced by several factors, you will need to consider:

Time of day & duration of the party. Will your guests expect a full meal, a light meal or just nibbles.

Theme and style. How far will these affect the food choices? You may need to research food and drink appropriate to your theme.

Budget. Food and drink expenditure may form the largest part of your budget. Set your budget and divide by the number of guests to give you the amount that you can afford to spend on each person. If your budget is limited, you might consider asking guests to bring their own alcohol drinks, or have a paid bar. Do provide plenty of soft drinks though.

Don’t forget about how your food and drink will be served – a full sit down meal, or buffet style – do you need waiting staff? Who will prepare the food – yourself, caterers, or consider hiring a chef for the day – it can be a lot cheaper than you might think.

Step 3 – Entertainment

Do you wish to provide entertainment for your guests, or just hope that they will all find each other exhilarating company! Of course we all aspire to having the most eclectic and entertaining mixture of party guest who will effortlessly entertain each other! However the reality is that some form of entertainment will be welcomed and can be used as a great starting point for guests to interact with each other.

Think carefully about what you would like your entertainment to achieve. There is a big difference between quiet background music to fill silences at the dinner party, and a wild treasure hunt which has guests working together to locate and retrieve the booty ahead of the other teams.

You can hire professional party entertainment which will fit with your theme and style – a band or small group of musicians can be excellent value for money and they will be far more memorable than your CD collection.

Party games can be a great way to have your guests interacting with each other. Team building and making new friends are best served with team games. Search on the net for plenty of team game ideas, or try the classic Treasure Hunt. Individual entertainment games can be set up to provide amusement and a talking point – look for puzzles and quizzes that are appropriate to your theme.

Don’t be afraid to try something new or adventurous. Your party will be all the more memorable for it. Guests are usually more than happy to try something new and providing it is well organised will have fun!

Step 4 – Invitations

Send invitations in plenty of time. Design them according to your chosen theme and style. It seems obvious, but do make sure that all the party details are clearly stated on the invitation:

Date, time (indication of duration), place, directions if necessary. Make sure you explain what is expected of your guests – costume / dress code, punctuality, what to bring (wine etc).

And make it exciting! Tease them with hints of what you have planned so that your guests will be eager to attend. Ask for a response so that you will know who to expect.

Keep a list of those you have invited, and note responses as you receive them. A week or so before your party, chase up responses not received. You will find it much easier to deal with the catering and final arrangements of you know how many you are expecting to attend.

Step 5 – Be Organised

My way of getting organised is to create a major checklist. Take some large sheets of paper and write down everything that you can think of that will need to be done. Organise those items into groups according to when they must be done. i.e. 2 months ahead, 1 month ahead, 3 weeks ahead, 2 weeks ahead, 1 week ahead, 3 days, 2 days 1 day, on the day.

Next have a walkthrough of your party. This is best done at the venue itself. If you are hiring a venue, ask if you can have a half hour there at a quiet time to just go through a few things. If you really cannot do this at the venue, you will have to use your very best imagination.

A walkthrough should be done from the point of arrival at your party – parking, walking to the front door, being greeted, where to hang their coat, what to do with items being brought, gifts / bottles. What will they see, what will they hear? Then go into the party itself, how will your guest meet other people, find out where to sit / eat / drink / get involved etc etc. You must imagine yourself going through every moment of your party – see it from your guest’s point of view. And make lots of notes about what you will have to do or arrange to make sure that your vision is reality. Add all of these items to your to checklist.

Be disciplined with your checklist. Don’t put anything off – delegate by all means, but do make sure that you check up and keep on target.

Leave as little as possible to the last minute. On the day itself you should be able to relax and enjoy being the best hostess in town.

"The treasure hunt party was great; my 16 year old son said it was an awesome party. All the kids came dressed in costume as well as the adults! The hunt took about 1.5 hours to complete. The clues lead to a compass and spade, the compass lead to a treasure map, and the map then lead to the treasure that was buried. When they dug up the chest it was wrapped in chains and locked, and a clue giving them a hint as to where they could find the key, which was hidden in another chest. Being a pirate party, there were several chests for them to look through, but it was in the cake which was shaped like a chest.

We served jerk chicken and shrimp before the hunt, they did the hunt, then ate cake, opened the chest, then played capture the flag in the dark (they had on glow stick necklaces). Everyone had a grand time!! Thanks for your ideas. "

"Hi Nikki, my party was in Oakville, Ontario. I had it on April 9th and it was for my daughter's 8th birthday. The age range is 6-8 years old. I had some ideas about the party prior to getting your book, but your book was great to help bring all my ideas together. I modeled the game after yours but I changed a few things to be applicable for us. I didn't have a lot of time to put it together, but it only took a few hours to gather the necessary items and make the game. I loved making up the clues and the treasure map. We authenticated the map by burning it and staining it with tea, and it was very realistic.

The morning of the party I had everything ready to go early and I felt completely relaxed, which is not always the case prior to a party. The party was a resounding success. The kids absolutely loved the game. They had so much fun, and worked really well in teams. I buried the treasure in our front yard, so that was definitely the highlight for the group. They were chanting "dig, dig, dig" to the team who was digging to get the treasure up. Once it was found, they screamed with joy and excitement at what was in the tin.

Everyone had fun. No one was frustrated or felt they couldn't do the game.

So thank you for all your assistance. I will definitely do another treasure hunt again. In fact my 6 year old asked if she could have the same party next year. It was so much fun for the kids but also for the my husband and myself. We couldn't wait for the kids to get here so we could play the game.

"Hi Nikki, we had a great party. The games we played at the party was like Amazing Race. They had to play a game to get a clue. (They collect all seven clues and put it together to find the treasure). I made passport for everyone. We traveled around the world to all seven continents. They had different ways to travel around the world. (bike, Wheel bower, skates, etc.) When they collected all the clues they had to find the treasure box that was buried.

We had two teams. I know the kids loved it we had it before our spring break, and yesterday was the first day back and they were still talking about it.

"We did have fun. There was one adult and one child on each team and it was so cute to see the kids come wrapped as mummies.

One hyperactive child only came with partial shards of toilet paper since he couldn't stop moving. We weren't picky on how much of their body was covered. One little girl never moved and she came perfectly wrapped. I recommend a toilet paper like Scott, since the softer rolls fell apart too easily. I found out my adult niece couldn't spell backwards and she became very frustrated! I think everyone was surprised that it wasn't just a straightforward "here's the map, find the treasure" and they were very surprised to actually have to DIG for the treasure! I used a large tin wrapped in a plastic bag, but when the shovel hit, the bag broke and the tin lid got dented, so a little dirt got in, but not much. The trouble was they kept trying to pull it out before totally uncovering it. "

"Hi Nikki, the Treasure Hunt was a GREAT success, and everyone had a GREAT time at the annual Block Party! ALL the kids (and I mean all....there must have been at least 60 - 70 kids participating) had a great time, and I think the adults at each of the participating homes on the block did also! We did the Pirate theme and everyone seemed to enjoy all of the pirate flags...balloons, and the Pirate we had "hanging in the galley" of Pirate Beach (he was a bit scary for the real youngsters...but it definitely added to the effect we were trying to achieve.)

We had a huge Treasure Chest "buried" in our back yard filled with all sorts of toys, candy bags, faux jewelry, coins etc.... and the winning team all seemed to revel in the excitement.

Finding the treasure map was the best. My husband hid it in a bird house. It took them like 10 minutes to clue in. They ran around it who knows how many times. The next best thing was the actual location of the treasure chest. Instead of burying it we strung it up in a tree. Of course, no one thought of looking up. It was right in the middle of all the action throughout the whole hunt. We were laughing. It was a blast. This party took place middle of July. On this past Monday, one of kids mentions to my daughter that that was the most fun at a party. Now the other kids want treasure hunts too. Next year it will be even better since we had the trial run and it went over amazing. Thanks for your help. "

It was my son's 12th birthday party and he complained that he didn't want to play any games, but I didn't want 10 children running through the house for 3 hours. The guests had to search for Uncle's Seymour's Last Will & Testament.

We followed all your suggestions for the challenges, teaming older players with younger ones. The puzzle pieces led the players to the chapel (we have a real chapel with stained glass windows and oak pews in our home), where we had hidden the Last Will & Testament with directions to Uncle Seymour's most treasured worldly possessions. My two sons, my husband and I dressed in Halloween costumes and supervised the rooms. Even after one team had located the treasure, the others were having so much fun that they asked if they could complete the remaining challenges (the one with the peas seemed to be everyone's favorite). Everyone had a great time, but what made me happiest was that my son kept thanking me the next day, telling me how much he loved me for throwing such a great party for him. "Hi Nikki, Thank you for your treasure hunt book. We held our treasure hunt a couple of weeks ago and it consisted of 12 groups of 10 year old children, a total of 110 kids. The treasure hunt was a culminating activity of our term's unit "What is your treasure?" We had 6 stations and made up fun challenges at each stop, the children received a piece of the last puzzle each time they successfully completed a challenge. The teams eventually ended up in the principal's office where they found a spade and a beautifully tea-stained treasure map that directed them to a sand pit on the school property where the treasure was buried. The winning team received the contents of the treasure chest and each participant a love heart with the words "Where your treasure is, there will be your heart also" Matt 21:6 with a chocolate bar attached to the back. The children absolutely loved the hunt and it was a highlight of the term. Your book was so helpful in setting up the treasure hunt, which was quite complex with so many children involved. We will definitely use all of the tips again when we run the treasure unit next year. Thank you for all of your help and your follow-up emails which ensured the day was a huge success! "

"We had a great time with the treasure hunt. Our big birthday party involves my two daughters, now 2 & 6, and their dad. All birthdays within 10 days. We had about a dozen kids into the treasure hunt. The booty in the treasure chest was used for goody bags for the young guests. The kids had a great time and were ready for cake afterwards. "The treasure hunt was great. Now we have been requested to do a city wide treasure hunt to raise money for a scholarship fund. "Hi Nikki, We had a great Treasure Hunt for my daughter’s 11 year old party. We had five teams and I had two other grown-ups helping me. I did the pea challenge, the balancing on a rope, a general knowledge quiz, the backward clues quiz, a memory game and a beat the buzzer game, some they found more challenging than others. The treasure map I hid inside a balloon and mixed it in with lots of other balloons so they had to pop them all to find the map, I had also hidden the bag of balloons.
The treasure map was then found and the hunt for the chest started - it was located up a tree.
They all had great fun, the weather stayed dry and the bags of gold coins for the treasure box were appreciated. What a great idea, I shall certainly keep it for using again."

"Once we got started, it went pretty smoothly. I had teams of one adult and one kid, and I mixed them up, so usually the parent didn't get their own kid. " Yes, we have had our treasure hunt. I don't know what I was looking for when I purchased your book....However it did help. I put the kids (age 7-13) into three teams. We used the stations where the teams had to go and complete a task as a team to earn clues. Each team had to figure out their clues to find their party goody bags. "Dear Nikki, I wanted to give you a review of our party last Saturday. It was a real hit, all the boys had a great time. We had 8 boys ages 11 and 12 over for our twin’s 11th birthday party. We gave instruction to bring their bikes to the party as they were to search within our housing development for clues, the map, and treasure. The invitations were hand delivered on brown paper sacks to look like treasure maps.
We included many of your games; Pea and straw, toilet paper wrap, word puzzle, rope walk, we added – name the landmark game with pictures of US national landmarks as an educational station.
Our map was hidden by our community pool under a bench in a poster tube. It led them to an undeveloped lot that had 3 piles of dirt. There was an actual X taped onto one of the piles of dirt. We spray painted a Styrofoam cooler black and glued a latch for the combination lock to hold. The boy’s party favors were in the treasure chest which included a flashlight, movie gift card and some candy!
My wife and I did the whole thing with each of us taking one team (4 boys). Thanks again for the great kit as it made the process very easy. We had a fun time in planning the whole event. The combination twist is a very clever thing!"

Annual corporate Christmas Party in a ski resort. Our theme this year is Pirates and Wenches. 40 people all adult..drinkers...
A large crowd of all ages - about 200!! kids and adults.

Company picnic for 80 adults on Angel Island in the middle of the San Francisco Bay.
My daughters' 13th birthday. The party will be around our pool, and we have about 15 acres of lawn to use. BBQ and swimming. About 30 kids, and 20 parents.
Back To School - Treasure Hunt in my backyard for neighbors, family, and friends. I plan to turn the treasure hunt into an annual community event.

A very big party in our hostel. The participation might vary from 50-60 people at a time.
Part of a larger fundraising event for Orphans of Aids Victims in Africa. I have a 60 acre piece of property with about 5 acres of woods with trails etc.
During our Island Packet Sailboat Rendezvous. The treasure hunt is on Saturday when we have a sailboat race, however, not everyone wants to participate in the race. I am using the game to fill some of the time for those who choose not to be in the race.

A 4 year old birthday party at a water park. We are going to do a pirate treasure hunt in a wooded area nearby with a creek etc.
A company party. There are about 15 employees and their families-so a total of about 30 people. In a park and have all ages participate---mix it up a little so people get to know each other.
50th birthday party. 40 confirmed guests (20yrs.old to 60 yrs. old) In the back yard.
Company picnic with a "Pirates of the Carribbean" theme. We will have about 100 people, children and adults.
The theme is team building, for a group of managers. So, they are all adults, and are typically VERY competitive. There will be about 40 people involved.
My Mothers 50th birthday.... we love to dance, drink some and are wild....
For 14-15 year olds and a few adults to transport each team. A citywide hunt (we live in a small town) and will last several hours.
A staff & family barbecue for this weekend. It is being held at a park site with a lake. The age of the guests range from 3 to 65.
A pool party - for adults. We are all parents of high schoolers so we are between 45 - 55.
A performing arts camp and the theme for the camp is journeys/adventures.

The party is being held on Memorial day week-end, at a local park, for well over 100 people.
Our neighbourhood has a Ladies Bunco group. Each June, we host a poolside party which has a theme. This year, our theme is Pirates. The ages of the women are from 30 to 50.
Our party is a Memorial Day weekend party. It is held lakeside.
We are planning the hunt the last day of school for my 11 yr old daughter. There will be 10-15 children there for the hunt.
A children's event to celebrate/kick-off our capital stewardship campaign for our new "family center." We'll have children from Kindergarten up to 6th grade.
Birthday party for my grandson and his friends ages 10-12, We live on the side of a mountain with steep slopes, lots of stone steps, a creek, a large goldfish pond and lots of good places to hide things. The party is an annual occasion.
